Full Position Description

ROLE (High Level):

McKissack & McKissack is seeking a Document Control Person/Office Engineer (DCP/OE) will play a critical role in supporting both the Construction Manager and/or the Project Controls Manager, overseeing technical, administrative, and document control functions to ensure seamless project execution. The position requires a strong background in infrastructure construction, including experience with underground utility installations, foundation construction, roadway and bridge projects, and water infrastructure systems.

Salary range: $40/hr up to $55/hr based on experience

Your Role (Responsibilities):

Document Management & Control: Establish and maintain a comprehensive document control system for the project, ensuring that all records, submittals, RFIs, and change requests are logged, tracked, and distributed in a timely manner. Set up and maintain submittal logs for all project deliverables and ensure the expeditious review and return of submittals to the Contractor. Organize and maintain project files, ensuring all documents are stored according to project protocols, with clear version control.

Technical and Administrative Support: Collect and record project quantities related to underground utilities, foundation work, roadway, bridge, and water infrastructure projects. Review and process payment applications and verify all supporting documents to ensure compliance with contract terms. Maintain detailed records of quantities, changes, and payments, and ensure these are regularly reconciled with contract documents. Support the Construction Manager and Project Controls Manager in ensuring the timely processing of payment applications and change documentation.

Meeting Coordination and Documentation: Attend project progress meetings and prepare detailed meeting minutes. Update and maintain logs for Requests for Information (RFIs), change requests, and submittals, attaching updated logs to meeting minutes for reference. Expedite RFI responses in collaboration with the Construction Manager or Project Controls Manager, and ensure that any changes resulting from RFIs are processed and documented accordingly.

Testing and Quality Assurance: Monitor all testing activities and maintain detailed records of testing results, certifications, and quantity records for work such as utility installations, roadways, and bridge foundations. Notify the Contract Administrator (CA) of any issues related to quantities, testing, or certification, and track and document resolution efforts.

Compliance & Reporting: Ensure all documentation aligns with industry standards and project specifications for infrastructure projects, especially those involving underground utilities, water infrastructure, and large-scale civil works. Manage and maintain reports for testing results, progress updates, and any issues encountered during construction phases, keeping all stakeholders informed.

What We NEED You to Have:

  • Bachelor’s Degree in Civil Engineering, Construction Management, or a related field is preferred.
  • 5+ years of experience in construction projects, with a focus on infrastructure (e.g., roads, bridges, utilities, water systems).
  • Proficiency in document control systems and project management software such as Procore, Aconex, or similar platforms.
  • Strong understanding of construction contract documents, project submittals, RFIs, change orders, and quantity tracking.
  • Familiarity with industry standards and codes related to utility installations, foundations, and infrastructure work.
  • Excellent organizational skills with a high level of attention to detail, ensuring proper management of all project documents and records.
  • Strong communication and collaboration skills to coordinate with Construction Managers, Project Controls Managers, Contractors, and other project stakeholders.

What We WANT You to Have:

The ideal candidate will possess extensive experience in infrastructure construction projects, particularly in the following areas:

  • Underground Utility Installations: Familiarity with the installation of water, sewer, gas, and electrical utilities, including knowledge of trenching, pipe-laying, backfilling, and testing processes.
  • Foundation Construction: Experience working with deep and shallow foundations, including pile driving, concrete pours, and shoring methods.
  • Roadway and Bridge Projects: Understanding of roadway construction techniques, from subgrade preparation to pavement layers, and experience with bridge construction, including foundations, superstructures, and precast or cast-in-place elements.
  • Water Infrastructure Systems: Knowledge of water and wastewater system construction, including pipeline installation, manhole construction, valve setting, and related testing procedures.
